Question 1

What is KumoMail and how does it work?

Accepted Answer

KumoMail connects to your Gmail inbox and sorts each email into the categories you create. For each email, the AI reads the sender, the subject and an excerpt, then picks the category and the urgency level. Separately, you keep track of what's still to handle and what's done.

Question 2

Can I try KumoMail for free?

Accepted Answer

Yes. During the beta, join the waitlist. When your account is created, you get a 7-day free trial, no credit card needed: 25 emails sorted, 150 AI credits and up to 4 custom categories, plus “Other”.

Question 3

Is my email safe? Who can read it?

Accepted Answer

Sign-in goes through OAuth 2.0: KumoMail never sees your password and only gets read and send access. It can't delete or move your emails. For sorting, your email content isn't stored on our servers: we keep each message's category, urgency and read status. Your conversations on the AI page are kept, then deleted after 30 days without activity. For sorting, the sender, subject and an excerpt are sent to our AI subprocessor, OpenAI, and only once you've agreed. For a guided reply, which you agree to separately, it also receives the text of the email (cut if it is very long).

Question 4

What happens if I delete a category?

Accepted Answer

No email is deleted from your inbox: only its filing in KumoMail changes. You can delete every category except the one that collects emails needing no action, and add the default categories back whenever you like, within your plan's limit.

Question 5

Which emails does KumoMail ignore?

Accepted Answer

KumoMail doesn't sort the trash, drafts or sent emails. With Gmail, it sticks to emails received in the past year.

Question 6

Can I use KumoMail on mobile?

Accepted Answer

Yes, in your phone's browser: the interface adapts to small screens. There's no app to install.

Question 7

Who is KumoMail for?

Accepted Answer

For founders, freelancers, online shop owners, executives and anyone whose inbox takes up too much time: you choose your categories, Kumo files your emails, and you stay in control.

Question 8

How is KumoMail different from Gmail filters?

Accepted Answer

A filter follows rules you write yourself. Kumo reads the sender, the subject and an excerpt of the message, then files it in one of your categories.

Question 9

Who is Kumo?

Accepted Answer

The little cloud that keeps you company on the AI page. It's also the name we give to the AI that files your emails, summarises them and prepares your replies.

Question 10

Which languages is KumoMail available in?

Accepted Answer

The interface comes in 10 languages: Français, English, Español, Italiano, 日本語, 한국어, Deutsch, 中文, हिन्दी, العربية. You can switch language from the selector in the navigation bar.

Question 11

Does it work when I travel?

Accepted Answer

Question 12

What's available now, and what's planned?

Accepted Answer

Available now, in beta: sorting your Gmail inbox, your categories, the AI page, the morning summary, analytics and focus mode. Coming soon: Outlook, with Microsoft sign-in already in testing.

Question 13

Which mailboxes are supported?

Accepted Answer

Gmail, for now. Outlook: coming soon. Microsoft sign-in is already in testing during the beta.

Question 14

Why not Outlook right away?

Accepted Answer

Microsoft sign-in already exists in KumoMail, but it stays in testing during the beta: it hasn't been confirmed in real conditions yet. Outlook is coming soon; we'll announce it when it's ready.

Question 15

How do I connect Gmail?

Accepted Answer

A button opens Google's sign-in screen: you choose your account and authorise KumoMail. You never type your password into KumoMail.

Question 16

What does KumoMail ask Google for?

Accepted Answer

Your email address and name to open your account, permission to read your emails and permission to send messages. Nothing else: no right to delete or move your emails.

Question 17

Can KumoMail send emails without me?

Accepted Answer

No. A reply is only sent once you've read and approved it: a draft on its own never goes out.

Question 18

How do I sign out or revoke access?

Accepted Answer

You can sign out from the app, or delete your account from the settings, Google access included. You can also remove access at any time from your Google account.

Question 19

Can I connect several mailboxes?

Accepted Answer

Yes, with the Business (up to 3 addresses, including your team members') and Agency (up to 10, likewise) plans. The other plans keep to a single mailbox.

Question 20

Can my colleagues see my emails?

Accepted Answer

No. In a team, everyone only sees their own inbox. Team analytics only shows numbers: how many emails each person sorted and handled.

Question 21

What happens to my account if I leave?

Accepted Answer

You can export your data, then delete your account from the settings: it's immediate and irreversible, and your account, categories, preferences and access are erased. Only a technical identifier and the start date of your trial are kept, to prevent repeated free trials; any invoices stay with Stripe.

Question 22

How does Kumo choose an email's category?

Accepted Answer

For each email, the AI reads the sender, the subject and an excerpt, then compares them with your categories and their descriptions. It picks the category and the urgency level.

Question 23

Does Kumo sort when KumoMail is closed?

Accepted Answer

Yes. Sorting carries on on our servers, even with the app closed. Inboxes are handled one after another, as long as your plan or trial allows it.

Question 24

How many categories can I create?

Accepted Answer

During the trial, 4 custom categories, plus “Other”, which doesn't count. After that, from 4 to 25 depending on the plan.

Question 25

What is “Other”?

Accepted Answer

The category for emails that fit none of your categories. Emails from a category you delete end up there too.

Question 26

Can I correct a sort?

Accepted Answer

Yes. Select one or more emails, then use “Move” to file them in another category.

Question 27

Does KumoMail delete emails?

Accepted Answer

No. It only files them: KumoMail has no right to delete or move your emails in Gmail. Deleting a category doesn't delete any email either.

Question 28

Where do I see my categories in Gmail?

Accepted Answer

Nowhere in Gmail: your sorting lives in KumoMail. Your Gmail inbox stays exactly as it is; you find your categories in KumoMail.

Question 29

What does “Done” mean?

Accepted Answer

Among the starting categories, “Done” gathers the emails that need nothing more: confirmations, receipts, invoices received. You can also mark an email as handled yourself, or put it back to handle.

Question 30

What is Focus Mode?

Accepted Answer

You pick one or more priority categories: everything else is hidden for a while, so you can deal with what matters without distraction. You can turn it off at any time.

Question 31

What is the AI page?

Accepted Answer

A chat space where you ask questions about your inbox. Kumo answers based on the 50 most recent emails of the mailbox on screen, tells you what's urgent, and doesn't change anything in your mailbox.

Question 32

What is an AI credit?

Accepted Answer

The unit that measures AI usage: conversations on the AI page, the morning summary, guided replies and the analysis of your writing style use them. Sorting your emails never does.

Question 33

How many credits are in the trial?

Accepted Answer

150 AI credits in total, for the 7 days of the trial. Sorting your emails has its own counter: 25 emails sorted.

Question 34

What happens when I run out of credits?

Accepted Answer

The AI stops, but sorting your emails isn't affected. With a paid plan, credits refill every day; during the trial, they don't refill.

Question 35

Can the AI make mistakes?

Accepted Answer

Yes. That's why you can correct a sort, and why you always read and approve a reply before it's sent.

Question 36

How do guided replies work?

Accepted Answer

Kumo prepares a draft, and if it's missing some information, it asks you a question instead of making it up. You read, edit and approve. During the beta, sending may still be simulated: the app then tells you so clearly.

Question 37

What is the morning summary?

Accepted Answer

On the AI page, “Prepare my morning”: KumoMail counts the emails that are loaded, the urgent ones and those in each category, and Kumo sums up the most urgent ones in one sentence each. It uses AI credits.

Question 38

What are analytics for?

Accepted Answer

They show, based on your emails, the split by category, the emails received and handled each day, your most frequent senders and your sorting volume for the month.

Question 39

Which AI does KumoMail use?

Accepted Answer

An external AI provider, our subprocessor, named in the privacy policy.

Question 40

What does the AI see of my emails?

Accepted Answer

To sort an email, the sender, the subject (up to 150 characters) and an excerpt of the body (up to 700 characters) are sent to our AI subprocessor, never a longer email in full, and only once you've agreed. On the AI page, Kumo sees the 50 most recent emails of the mailbox on screen (sender, subject, date, category, urgency, read or unread, first words), without attachments or the full text. For a guided reply, which you agree to separately, the text of the email is sent too (cut if it is very long).

Question 41

Does a human read my emails?

Accepted Answer

According to our privacy policy, no: sorting is done automatically, with no manual intervention.

Question 42

Where is my data stored?

Accepted Answer

In the database of our host, Cloudflare. For sorting, the content of your emails isn't stored: we keep the category, the urgency and the read status. Your conversations on the AI page are deleted after 30 days without activity.

Question 43

Do you sell my data?

Accepted Answer

No. KumoMail is funded by subscriptions, with no advertising, and the privacy policy lists every recipient of your data: our subprocessors only.

Question 44

Are my emails used to train an AI?

Accepted Answer

According to our AI subprocessor's API policy, cited in our privacy policy, the content sent isn't used to train its public models.

Question 45

Where can I read the full privacy policy?

Accepted Answer

It details the data collected, the service providers, retention periods and your rights.

Question 46

Is KumoMail free?

Accepted Answer

The 7-day trial is free. After that you need a paid plan, from €3.99 a month; payment isn't open yet during the beta.

Question 47

Do I need a credit card for the trial?

Accepted Answer

No. The 7-day trial starts when you create your account, with no credit card.

Question 48

What happens when the trial ends?

Accepted Answer

Sorting and the AI stop. You can still read your emails, reply to them by hand, and keep your categories and settings.

Question 49

Can I stop whenever I want?

Accepted Answer

Yes: you can delete your account at any time from the settings. No card is asked for the trial and payment isn't open yet, so nothing is charged today.

Question 50

Why a beta?

Accepted Answer

The product is evolving fast, and feedback from the first users keeps it moving forward.

Question 51

How do I join the beta?

Accepted Answer

Leave your email address in the access form on the home page: we'll let you know when it opens. Nothing to pay to sign up.

Question 52

What is a team code?

Accepted Answer

An invitation code that a team's owner gives you. By entering it, you join their space and use their plan. If you're on the free trial, joining the team ends it.

Question 53

How can I contact you?

Accepted Answer

Write to us at contact@kumomail.app and we'll get back to you.

Question 54

How do I report a bug or suggest an idea?
